Plan an office in Bahrain around staff numbers, work patterns and meetings before selecting furniture. Allocate reception, collaboration, focused work and storage, then coordinate power, data, lighting and air conditioning. Filling the floor with the maximum number of desks is not a complete workspace strategy.

Office layout concept with workstations, a glazed meeting room and integrated storage

Start with a working day

Record current staff, expected growth, visitors, simultaneous meetings, calls and filing needs. A small Manama business may benefit more from a flexible meeting room than a large reception desk. A client-facing business may need a clearer visitor route. Match the layout to the activity.

Balance open and enclosed areas

Open space can support daily interaction but needs a strategy for calls and focused work. Enclosed rooms require coordinated lighting, ventilation and circulation. A mixed arrangement may accommodate several work modes without assigning the whole office to one style.

Glass offers visual connection; it does not establish speech privacy by itself. For a required acoustic performance, specify and review the complete partition, doors, junctions and service penetrations. Reducing room reverberation and limiting sound transmission are different tasks.

Coordinate furniture and services

Locate screens, sockets, network points, printers and storage from the furniture plan. Where possible, test a desk and chair before procurement. Check seating movement and drawer access. Qualified specialists should review lighting and air distribution. Keep circulation, exits and maintenance access appropriate to project and authority requirements rather than applying one universal dimension.

Compare the full budget

Separate partitions, joinery, furniture, services, ceilings, lighting and flooring. Identify removal, protection, delivery and cleaning. In rented premises, confirm owner and building-management conditions before finalising the work scope. State whether data systems and technical equipment are included or procured separately.

Test the finished workplace

Check screen glare, door and drawer operation, furniture stability and cable management. Have relevant services inspected and tested by qualified teams. Trial the meeting room for its intended use, record defects and retain final drawings and care documents.

Prepare a brief for your Bahrain office

Identify the business, current users, planned growth and attendance pattern, visitor numbers and simultaneous meetings or calls. Record existing problems: printer congestion, audible meetings, inadequate storage or window reflections on screens. Provide plans, measurements, area photographs and retained furniture and equipment. Rank priorities, budget and occupation date, and identify who consolidates and approves team comments.

Distinguish a new fit-out from renovation of an operating office. For leased space, review the owner’s and building management’s conditions and proposed alterations with relevant parties before ordering work. Check project-specific approvals, access, protection, working periods, deliveries and waste arrangements. Do not assume one process for every Manama building. Assign information and follow-up responsibilities so confirmed constraints enter the programme and budget.

Zone the office around team relationships

Map reception, collaboration, focus, meetings, storage and support as connected needs. Position teams appropriately for information exchange and separate frequent calls from focused work where the review supports it. Printers or refreshments near sensitive work can add repeated movement. Do not maximise desk numbers before understanding these relationships and circulation and service requirements.

Trace visitors from entrance to reception and meetings, and staff to storage and printers. Test doors and chairs in use with actual furniture sizes. Escape, access and maintenance routes need project-specific review with the relevant specialists and authorities; this guide gives no universal legal corridor width or occupancy. Test two layouts on the same plan and compare the area allocated to each activity and the compromises.

Give open work and focus rooms defined purposes

Open space may support communication without automatically supporting private calls or quiet concentration. Review actual meeting sizes, durations and frequency before building a large room at the expense of daily work. Consider a mixed arrangement with collaboration, meetings and focus, together with booking and use arrangements. Calling a layout flexible does not prove it suits activities or has sufficient service points.

Test expected change, such as another team or more meetings, against the layout and infrastructure. Can a desk move without extensive new wiring, and does suitable storage remain? Practical flexibility requires plans, connections and details as well as movable furniture. Document present provision, preparation for growth and work that would be required later. Avoid turning an undefined future preference into a service promise.

Distinguish visual privacy from speech privacy

Curtains or film can restrict views without demonstrating speech isolation. An absorbing panel inside a room also does not establish reduced sound transmission outside it. If the business needs conversation privacy, define use and required performance with the specialist. Review partitions, doors, glazing, joints, service penetrations and adjacent transmission paths. Glass thickness alone does not describe the complete decision.

Coordinate privacy with light, ventilation and access. A closed room without coordinated services is not a complete meeting solution. Request product and system specifications and agreed installation and checking methods. This guide offers no measured acoustic rating or promise of absolute confidentiality. The image illustrates a visual direction; actual performance depends on the complete assembly and installed work.

Trial a workstation before ordering the whole office

Select a desk, chair, monitor and accessories for a trial. Review adjustments, seating, keyboard and mouse reach, drawers, leg space and chair movement. Consider different users and needs; one size or chair photograph does not demonstrate suitability for everyone. Define furniture products and adjustments and any offered trial or exchange conditions before repeating an unsuitable workstation across the office.

The OSHA Computer Workstations eTool explains that one arrangement does not fit everyone and encourages review of components and environment together. It is US guidance, not Bahrain regulation or a medical assessment of your team. Use it to support questions and trials, seeking individual specialist input where needed. Furniture selection should not promise to treat a health condition or produce an unmeasured productivity gain.

Check light and glare from the screen position

Review monitor orientation relative to windows and luminaires and check reflections from seated positions. Control window light for actual use and discuss reflective surfaces and directed lighting. Do not select office lighting solely by render brightness. Aim for task-appropriate distribution coordinated with screens, controls and maintenance. The lighting specialist reviews calculations, products and applicable project requirements.

Separate fittings, supplies, controls and installation in the proposal and connect them to furniture and ceiling plans. Changed desk orientation needs a renewed lighting, power and air-distribution review. A workstation trial in proposed conditions may reveal a problem before procurement but does not replace technical checking. Retain clear specifications and samples, without attributing unmeasured illumination, comfort or performance to the illustration.

Map power and data from the furniture plan

For each workstation, identify computers, monitors, phones and required accessories. Add printers, meeting equipment, network equipment and storage appropriate to the business. Tie positions to furniture and assign design, supply and testing responsibilities for electrical, data and technology systems. Avoid cables across circulation and temporary arrangements treated as final design. Specialists review loads, routes, protection, access and project requirements.

Review cable management below desks, outlets and the ability to move furniture or reach serviceable parts. Do not conceal equipment needing ventilation or servicing in an unreviewed cupboard. Define interfaces between fit-out and technology contracts: who supplies, terminates, tests and records each connection? An undefined interface can leave an attractive office that the team cannot operate on moving day.

Specify reviewable finishes and storage

Select floors, surfaces and partitions for use, cleaning, maintenance and available products. Record references, colours, textures, installation and door or joinery junctions. Define file and equipment storage, access and any permissions needs, then check dimensions, opening and staff movement. Attractive cupboards may not accommodate the items for which they were purchased.

Separate required performance from appearance. Fire, acoustic or other requirements need definition and specialist review for the application. Broad commercial or resistant labels do not establish compliance. Approve samples and schedules linked to price items. Review alternatives for appearance, care, fixing, cost and programme effects. Similar colour alone should not permit an undocumented substitution.

Break down the Bahrain office fit-out budget

Separate design, drawings and follow-up from removal, protection, partitions, doors, ceilings, lighting, flooring, joinery, furniture, services and technology. Record quantities, units, products, prices, inclusions and exclusions, and how relevant charges and taxes are addressed. Distinguish confirmed prices from allowances awaiting selection. Area alone cannot provide a suitable cost for every office: condition, scope and specifications change the comparison.

Compare proposals on a common scope and list alternatives separately. One offer may cover a glass partition and door; another includes ceiling, services, curtains and defined treatments. Identify differences before comparing totals. Record effects of changed desk numbers, furniture or technology scope before approval. An omitted item does not mean someone else will complete it without charge.

Plan continuity when renovating an operating office

Discuss work stages, closed areas, file and equipment protection, and service disconnection and recommissioning by responsible parties. Define temporary workplaces, deliveries and limits on work while staff are present. Do not promise uninterrupted activity without understanding scope and constraints. A network or shared-service interruption can affect more than the visible work area.

Link survey, drawings, decisions, procurement, protection, services, installation, testing and moving in the programme. Specialists define checks before concealed work is closed. Include decision, inspection and correction time and assign coordination responsibility. Changed delivery or scope requires reviewed stages rather than transferring an unexplained problem to users or compressing necessary checks.

A hypothetical small team with frequent meetings

A team in an existing office wants to receive clients and make calls without disrupting colleagues. It records actual meeting needs and peak attendance. Comparing two layouts suggests smaller reception, a suitable meeting room and focus space serve the business better than another row of desks. Visitor routes, services and privacy are reviewed before choosing partitions or furniture.

A workstation is trialled and finishes reviewed. Electrical, data, furniture and meeting-room scope are priced clearly. At handover, the team tests a meeting with intended equipment, chair movement and service operation. This educational example demonstrates decisions; it is not an office executed by SMD in Bahrain or evidence of increased productivity or measured acoustic performance.

Handover documents and a real working-day test

Inspect partition doors, cupboards, joinery and furniture against drawings, products and samples, and operate lighting and controls. Specialists test electrical, data, air-conditioning and other scoped systems. Trial meetings with intended screens, connections and seats, checking maintenance access. Record observations, locations, responsible parties, correction dates and reinspection. Photography does not close missing work.

Collect final drawings, service-point locations, product schedules, operating and care instructions, agreed warranties and service terms. Assign recipients and storage for non-public technology information rather than publishing it in project images. Once work begins, record real-use observations through the agreed follow-up process. A useful office design connects appearance with operation, documentation and maintenance.
