You can manage an Istanbul apartment renovation while living outside Türkiye, but remote decision-making does not replace on-site technical supervision. Start with a documented survey, an agreed scope, coordinated drawings and a bill of quantities. Approve materials before purchasing, link payments to verifiable milestones, and define the evidence required before concealed work is covered and keys are handed over.

Perhaps your apartment needs preparing for family visits, refreshing before you return, or upgrading for its next period of use. Choosing paint on a video call is rarely the difficult part. The real challenge is controlling a sequence of decisions at a property you cannot visit every day. Does the flooring price include substrate preparation? Will the new kitchen fit the selected appliances? Who checks the services that disappear behind finishes?

This guide proposes a practical management framework for owners living abroad. It is not a property-purchase guide, an investment forecast or a promise of rental returns. For the broader design and delivery scope, explore SMD’s Istanbul interior design services.

For general provider-selection criteria, see the Istanbul apartment renovation guide. This article adds the approval and control process for an owner living abroad.

1. Define the intended use before choosing a style

Describe who will use the apartment and how. A home occupied during occasional family visits may need straightforward cleaning, reliable storage and an organized shutdown procedure between stays. A permanent residence may require a quiet workspace, more kitchen capacity and a carefully planned laundry area.

Record the number of occupants, required bedrooms, furniture to retain, appliances to purchase and existing problems to solve. Separate the target budget from your absolute limit. Explain whether the desired completion date is a fixed commitment or a preference that can move. These decisions provide a stronger brief than a large collection of unrelated inspiration images.

Create a “retain unless justified” list as well. Sound doors, serviceable flooring or a kitchen suitable for selective improvement should not automatically enter a replacement package. Retention decisions still need inspection, but they prevent an intended refresh from silently becoming a complete reconstruction of the interior.

2. Commission a measured survey, not just a video tour

A useful survey brings measurements, photographs and observations into one record. It should identify room arrangements, visible structural elements, ceiling heights, openings, service points and the condition of finishes that may remain. Photograph each room from repeatable viewpoints and locate the images on a simple plan.

Separate findings into visible work that can be defined, questions requiring controlled investigation, and matters requiring specialist assessment. A moisture mark, for example, should trigger investigation of its cause rather than an immediate recommendation to cover it with a decorative panel. Conversely, an older finish should not be condemned merely because it is dated.

An interior survey is not a structural safety certificate. Istanbul Metropolitan Municipality’s building-assessment FAQ describes its rapid screening as a preliminary procedure, distinct from the detailed assessment needed for definitive structural conclusions. Uncertain conditions or alterations potentially affecting structural elements require competent specialist review before the affected renovation work proceeds. 3. Check the building’s requirements before fixing the start date

Ask the local project representative to establish the requirements applicable to the apartment, building and proposed work. The review may involve building management, common-area protection, waste removal, lift use, working hours and permissions required by the relevant authority. A management approval should not automatically be treated as a substitute for an official permission where one is required.

Maintain a simple approval register showing the issue, responsible organization, required document, person handling it and current status. Do not carry assumptions from another project into yours, particularly for changes involving openings, façades, shared services or a building with a special status. An unresolved issue remains “to be verified”; silence is not approval.

This is a project-control recommendation, not a universal permit checklist. The professional handling the actual property should verify the applicable process rather than relying on a generic online article.

4. Turn “turnkey” into a written scope

The word turnkey does not, by itself, define everything you will receive. Specify protection, removal and waste disposal; surface repairs; plumbing and electrical work; flooring and decoration; kitchens and joinery; appliances; curtains and furniture; cleaning, testing and handover. Separate supply, installation, connection and commissioning. An appliance supply price may exclude the work needed to make it usable.

For each item, record the description, location, unit, quantity, specification and responsible party. Where quantities cannot be established before investigation, identify a conditional allowance and an approval method rather than presenting an invented fixed amount. Agree measurement rules so that competing offers are not based on different areas.

Package Information needed for comparison Suggested close-out evidence
Flooring Measured area, preparation, skirting, waste and delivery Measurement, sample and acceptance record
Kitchen Drawings, materials, hardware, appliances and connections Approved shop drawings and operation checklist
Electrical work Inspection, alteration, point and equipment scope Updated drawings and appropriate test records
Painting Surface preparation, product system and included surfaces Colour approval and finish inspection
Furniture Dimensions, textiles, delivery and assembly Itemized schedule and receipt record

This is a suggested structure, not a priced bill for an identified apartment. Preparation of the actual documentation can be discussed through SMD’s drawings, quantities and engineering consultancy services.

5. Coordinate the kitchen, bathroom and lighting before manufacture

A rendering communicates appearance; it does not replace construction information. Before ordering a kitchen, freeze appliance models and actual dimensions, manufacturer-required ventilation provisions, connection positions and door or drawer movements. Do not commission fitted cabinets from a photograph or an estate-agent floor area.

In bathrooms, check the relationship between doors, sanitary fixtures, storage and maintenance access rather than selecting tiles in isolation. For lighting, identify the activity in each area: dining, reading, working or circulation. Coordinate fittings with furniture, finished ceiling heights and electrical points before the relevant surfaces are closed.

Use a coordinated approval meeting to review the plan, equipment schedule and material selections together. Any conflict between a drawing and a visualization should be resolved in writing before fabrication. “We will decide during installation” is not an adequate instruction for a custom item that has already been made.

6. Approve materials with an identifiable reference

Assign a reference to each floor finish, paint, countertop, timber finish and fabric. The approval record should name the product, manufacturer, code, dimensions, finish, quantity and intended location. “Timber like the picture” does not identify a material that a supplier can reliably reproduce.

For remote selections, request clearly lit photographs with a neutral reference and retain a physical control sample with the local representative. Phone screens cannot guarantee colour agreement. A physical sample sent to the owner is appropriate when the decision is important and shipping is practical.

A proposed substitute needs a specification, cost and lead-time comparison, not simply a statement that it is equivalent. Do not release custom manufacture until dimensions, finish and hardware are approved. The contract should also explain responsibility for correcting an item that differs from the approved information.

Identify each finish and retain the approved sample for delivery checks.

7. Organize reporting around decisions

Appoint one authorized owner representative and one delivery-side project lead. Agree a recurring meeting and a short, consistent report covering completed work, room-referenced photographs, decisions due, purchasing status, constraints and programme updates. More photographs do not necessarily provide more control when none are labelled.

Give every approval request an identifier, issue date and reasonable response deadline. Where a decision is delayed, explain its likely effect on procurement or dependent work. Do not assume a lack of response authorizes a change. Keep important decisions in an exportable register rather than leaving them buried in a messaging thread.

For projects needing additional independence, agree inspections by a technical representative separate from the contractor. A person’s presence on site does not mean they supervise every discipline. Define their appointment, inspection scope and limitations so the owner understands what has actually been checked.

A compact owner-approval register

This hypothetical example can be copied into a project tracker. It is not an actual approval or supplier lead time. Keep each item pending until the authorized person approves the correct drawing or sample.

8. Match payment evidence to the relevant milestone

There is no payment percentage that suits every renovation. Bespoke purchases may require deposits, while site work can be assessed against measured progress and contractual acceptance. Distinguish money paid, work accepted, materials reserved and materials physically delivered.

Request an itemized payment statement showing the work claimed and suitable procurement evidence where relevant. A delivery photograph is not proof of installation, and a purchase invoice alone does not establish material conformity. Completed painting also says nothing about whether electrical or plumbing checks have been performed.

Define the variation procedure before extra work starts: reason, description, cost, time impact and approval by the authorized person. Payment terms, remedies and guarantees need appropriate local contractual review. This article proposes management controls; it does not supply a legally binding Turkish contract.

9. Establish inspection points before concealed work is covered

Build inspection hold points into the programme. Suggested examples include services before concealment, waterproofing before covering layers, and maintenance-sensitive areas before access is restricted. The relevant professional should specify tests appropriate to the system, approved specification and manufacturer’s instructions.

Each inspection record should identify the location, date, item, result and corrective action where needed. Store photographs with the relevant drawing and update altered service routes. These records can support later maintenance, but photographs do not replace testing or competent sign-off.

When an unexpected issue appears, pause the affected work and assess it. A transparent technical decision, including its programme effect, is more useful than an impressive progress percentage that conceals work needing correction. Remote owners particularly need to see unresolved issues, not only attractive progress images.

10. Connect procurement with site readiness

Approving a piece of furniture is not an instruction to deliver it immediately. Plan deliveries around dusty or wet work, secure storage, protection and the access route. Check lift, doorway and turning dimensions for larger pieces before completing the purchase.

Allocate responsibility for carrying items to the apartment, assembly, packaging removal and what happens when the site is not ready on delivery day. Record any spare materials or components to retain, particularly where matching a later production batch may be difficult.

You can use SMD’s project portfolio to discuss the visual direction, but your apartment still requires its own measurements and specification. Similar-looking rooms do not establish equivalent costs, site conditions or delivery requirements. References should help define the brief, not substitute for it.

11. Plan handover before arranging the move

Avoid making the first inspection the day you arrive with luggage. Arrange an initial review and a realistic period for correcting findings, followed by a structured room-by-room handover. Check doors and drawers, material junctions, equipment positions, cleaning and the protection of completed work.

Specialists should verify services and operation within their respective scopes. The owner or representative should also test everyday use: can the storage be reached, does the washing-machine door open properly, and are switches in their agreed locations? Keep a single snagging register with responsibility, target date and evidence of closure.

The handover file should include updated drawings, material schedules, available warranties, operating information, relevant test records, keys and control devices. For an owner abroad, add post-handover contacts, maintenance-access permissions and arrangements for checking the property during longer periods without occupants.

12. A hypothetical example: a family apartment with a controlled budget

Consider an owner updating a three-bedroom apartment while retaining serviceable doors and some furniture. This is a planning example, not a completed SMD project or a quotation. First identify retained items, then assess whether the existing kitchen and bathroom arrangement can remain instead of relocating services without a clear benefit.

Group decisions into work that must be resolved before concealment, items requiring early procurement and optional improvements. Fix coordinated service positions and dimensions first, followed by flooring and kitchen selections, then movable furniture. Reduce expenditure through a smaller change scope or simpler joinery rather than removing inspection requirements.

The objective is not “maximum luxury at the lowest price.” It is a home matching the stated use, with a defined financial boundary and a record of decisions. That structure makes offers easier to compare even when supplier prices differ, and it reveals which savings change the scope rather than merely the finish.

13. What to send SMD for a project discussion

Send the Istanbul district, approximate apartment area and its measurement source, available plans, recent photographs and a description of the current condition. Add the intended use, requested work, items to retain, target budget, readiness date and details of a local representative where available.

Explain that you live outside Türkiye and require a remote approval and reporting process. Ask for surveying, design, quantity preparation, supervision and execution to be defined individually, including whether they are included or separately priced. Start through SMD’s contact page, and consult SMD’s Türkiye website for the company introduction.
