Choose an office desk around the tasks, equipment, user and available space, then coordinate the chair, lighting, storage and cables. Look for a surface that supports real work, clearance for sitting and moving, and a setup that can be adjusted and tested. Desk appearance alone cannot guarantee comfort for everyone or higher productivity.
Turn daily work into a clear brief
List the screens, paperwork, tools and files used at the workstation, together with the location of the printer and computer. Establish whether one person uses the desk or several people share it. A computer desk will not automatically suit client meetings, teamwork or handling large drawings.
Start with a measured plan showing the window, door, electrical points and access route. Add the occupied chair position, drawer opening and access to cabinets. The desktop footprint alone does not represent the space needed for a workstation.
Compare desk layouts against tasks and circulation
- Straight desk: a straightforward individual layout, with equipment and side storage arranged to suit the room.
- L-shaped desk: can separate paperwork from computer work if regular tools remain accessible and the arrangement does not require repeated twisting.
- Shared bench: review individual space, power, storage, privacy and adjustment.
- Meeting table: plan participant numbers, video calls and seat access; it is not automatically a daily workstation.
- Folding desk: examine stability, locking, storage and protection for equipment before moving it.
Test the desk, chair and equipment together
OSHA recommends adequate clearance beneath the surface, a monitor in front of the user and frequently used devices within reach. Its evaluation checklist also addresses chair, foot and wrist positioning and screen glare. These are setup checks, not one universal desk size.
Try the proposed chair and equipment at the desk before placing a large order. Check chair-arm clearance, leg movement and screen, keyboard and mouse positions. With a fixed desk, establish how the rest of the setup will adjust. For shared furniture, make resetting it simple and understandable.
A planning example: a 140 × 70 cm desktop occupies 0.98 m². That is the board area, not a workstation allowance or a suitable size for every user. Add chair movement, circulation and cabinet openings to the plan.
When is height adjustment useful?
Height adjustment may help when users change or tasks call for different positions. Check the product’s adjustment range, stability at working heights, rated load, warranty and spare parts. Test it with the intended equipment and confirm that cables remain organised throughout its movement.
OSHA’s checklist encourages variation in tasks and posture and avoiding prolonged sitting or standing. A standing or cycle desk should therefore not be presented as a treatment or health guarantee. Choose a setup that serves the task and can be used appropriately, considering individual needs.
Include storage, power and lighting in the decision
Move infrequently used files to side storage instead of filling the desktop or leg space. Plan a home for bags, daily documents and chargers before adding drawers. A small side unit may be more useful than a central drawer that prevents the chair from approaching the surface.
Coordinate cable openings and trays with devices, electrical points and maintenance access. Keep cables out of walkways and have electrical modifications reviewed by a qualified specialist. Assess daylight, blinds and task lighting from the actual working position: more brightness alone is not a better setup.
Review materials and details on a physical sample
Inspect edges, joints, texture, sheen and cleaning requirements. Operate drawers and check access to serviceable parts. Request care instructions rather than assuming all finishes tolerate the same cleaning products. For bespoke furniture, approve a finish sample and drawings covering dimensions, power and assembly details.
Coordinate the desk with the interior while protecting its function. A restrained palette, organised storage and considered cable details can create a clearer workspace than a long list of accessories.
A procurement and handover checklist
- Define quantities, dimensions, materials, finishes and adjustment systems.
- Identify the chair, equipment and storage used to assess the desk.
- Separate delivery, assembly, cable accessories and electrical work, with exclusions stated.
- Test stability, edges, drawers and adjustment in the intended setup.
- Review circulation, access, cleaning and maintenance on the plan and on site.
- Record operating instructions, warranty, maintenance and responsibility for resolving defects.
Consider one trial workstation before ordering a full office package. Record observations from actual tasks, then approve suitable changes before repeating the layout.
